Every guest invitation moves through a clear status flow. Each transition is timestamped, and the inviting member is notified at every step.
From invitation to check-in in three steps
Invite the Guest
Member opens the Guest Invite screen, enters the visitor's name, email, phone, and the validity window (valid from / valid to dates). The invitation is created in Pending status.
Host Approves
The host (or an admin from the approval queue) reviews the invitation and approves or rejects it. On approval, a unique QR pass code is generated and the guest is notified.
Guest Arrives & Scans
The guest presents their QR pass (accessible at a public URL, no app needed). An admin scans the code from the Admin App to check them in. The same flow is used for check-out.

Validity Window
Each guest invitation has a valid-from and valid-to date. The QR pass is only active within this window. Access is automatically revoked when the window closes.
Host Approval Flow
All invitations start in 'Pending' status. The host reviews the request and approves or rejects it. Admins also see a pending approval queue and can act from the Admin App.
Unique QR Pass
Every approved guest gets a unique QR code. The guest can access it from a public URL, no app download required. The pass shows name, validity, and check-in status.
Admin QR Scanner
Admins open the QR scanner in the Admin App to check guests in and out. The scan validates the code, confirms the validity window, and records the check-in or check-out timestamp.
Check-in / Check-out Tracking
Every guest check-in and check-out is timestamped and stored. Admins can see arrival times and duration of stay per guest on the guest detail screen.
Status Notifications
Guests and inviting members receive push notifications on status changes: when a guest is approved, checked in, or checked out, keeping everyone informed in real time.
